A Spec record actually consists of records in several, related, tables: - Specification - Releases - Versions - Genealogy - Secondary work items These will be explained below. To create a new Spec record, work out the desired spec number using the criteria described at www.3gpp.org/xxx. Then open the 3GPP Specs Status database and open the record for any spec. This will cause forms for all of the above object types to open. Select the main "Specs" form, which shows the title, the responsible working group, the rapporteur, etc and click on the "add new record" icon in the record navigator area at the bottom of the form. This will cause all five forms to show new, blank, records. Enter the details into the main Spec form: most of this information must come directly from the WID which justifies the creation of the new Spec. Take great care in entering the Spec number correctly, since this is difficult to change afterwards. To select the rapporteur, click the "all persons" button and find the record for the person concerned; beware, there may be several records for the same person, or for people with identical names, so be careful to choose the correct one. Entering the responsible working group will automatically indicate the responsible MCC project manager. Take the title directly from that given in the WID. To determine which radio technology the Spec is pertinent to, you may have to read the objectives section of the WID in some detail. Set the flags accordingly. Take care to enter the correct document type (TS or TR) and to clear the "for publication" flag in the case of 3GPP-internal TRs. If a Unique_id value has already been assigned to the work item, enter it in the primary WI UID field, then click the button just to the right of this field to ensure the same relation is copied to the secondary work item table. Save the Spec record by clicking on its record selector (left margin). Next, click the button with a diagram of an arrow pointing to a table on the top right of the spec-genetics form to set its genealogy. The default is to set the new Spec to have no progenitors and no offspring. No further data entry is normally necessary on this form. You can manually adjust this using the multi-record button on the top right of this form. The focus should now be on the Releases form. Click "new Release record" and set the Release number according to the predicted freeze date for open Releases and the predicted approval date for the new Spec taken from the WID. Ensure you click on the Release field having selected it, else it will not be set. If you already have a draft of the Spec, you may enter its version number into the schedule form. You should then upload that version to the latest drafts folder using the "Uploading Spec Files" procedure. Close the new Spec form, and all the associated forms will close, saving the data. The new Spec will not appear in the main spec list form (yellow background) until you click the "restart" button, top right of the form. If a number of new Specs are to be created, the above process can be repeated from scratch, or new Spec records can be added one after the other, creating a new blank record for each. If the new Specs have a lot of common data, you can save the entire Spec record shown on the first form in the clipboard, then paste everything into the next new record. Be sure, of course, to change at least the spec number and the title before you attempt to save the new record.
